Vacancy PERSONAL ASSISTANT TO THE DIRECTOR
PT Alarms Fire & Security has an opening for a Personal Assistant to the Director
The selected candidate must fulfill the following duties:
Proactively manage the Director’s agenda.
Provide general office management and administration.
Provide assistance and support related to Human Resources.
Provide financial tracking and administration.
Host high-level meetings, team meetings, conferences, and events, including outsourcing and end-to-end coordination to meet business objectives.
Manage an effective physical and electronic filing system.
Serve as a professional liaison with all internal and external stakeholders.
CRITERIA:
Work experience in a position as a personal assistant to a director.
Knowledge of office management and administration.
Ability to treat sensitive information with discretion and maintain confidentiality.
Proven proficiency in the use of the MS Office Suite, in particular, MS Word, Excel and Outlook.
Exceptional time management skills and ability to meet deadlines.
Excellent people management skills, interpersonal and communication skills.
Ability to work well under pressure, continually learn and adapt to changing internal and external environments.
Excellent oral and written communication skills, sufficient to professionally handle correspondence (phone calls and walk-ins, writing memos, letters and emails) on behalf of the Director.
Excellent attention to detail, with the ability to maintain a high level of accuracy.
Ability to multitask and coordinate multiple but related tasks toward a common goal.
Organize logistics for local and international trips.
Ability to work flexibly if required outside of working hours to provide effective support to the Director.
REQUIREMENTS:
Candidates must have a grade 12 qualification plus a postgraduate diploma or preferably a bachelor’s degree. Relevant work experience of a minimum of 5 years as a personal assistant at senior management level.
Ability to multitask and a good sense of prioritizing the daily workload.
Ability to work independently and as part of a team.
Reliable transportation essential.
Driver’s license would be advantageous.
The position is for a female candidate between the ages of 35 and 45.
